Email Signature Best Practices

Keep It Concise

A great email signature is 4–6 lines. Include essentials: name, title, company, phone, email, website. Skip filler like motivational quotes and excessive disclaimers — they distract from your message.

Use Consistent Branding

Match your signature colors to your company brand. Use the same fonts and color palette across all employees for a unified, professional appearance in client inboxes.

Host Images on a Public URL

Email signatures use images via URL — they're not embedded. Host your photo, logo, and banner on a public HTTPS server (your website, Imgur, a CDN like Cloudinary, or any image host). Use small, optimized images (under 50 KB each) for fast loading.

💡 Pro Tip: Use the Inline HTML output for Outlook compatibility. Outlook strips most CSS rules from <style> blocks but respects inline styles applied directly to elements.

Test Across Clients

Email signatures render differently in Gmail, Outlook, Apple Mail, and mobile clients. Send a test email to yourself and check it on desktop, mobile, and at least one client other than your own.

Include Mobile-Friendly Spacing

About 60% of emails are opened on mobile. Keep your signature single-column when possible — multi-column layouts often break on phone screens. Use generous line-height (1.4 minimum) for readability.

Add Social Links Sparingly

Include only social profiles you actively maintain. Stale Twitter accounts or empty LinkedIn profiles can hurt credibility more than help. Choose 2-3 platforms most relevant to your business.

Frequently Asked Questions

Yes — completely free with no registration, no subscription, and no hidden charges. You can create unlimited email signatures and use them in any email client.

All major clients: Microsoft Outlook (every version from 2000 to 2024, including ProPlus and the New Outlook for Windows), Outlook on the web, Outlook.com, Outlook for Android, Outlook for iOS, Apple Mail, Opera Mail, Mozilla Thunderbird, Gmail, Yahoo Mail, AOL Mail, Zoho Mail, and Mail.com. Use the Inline HTML output for best Outlook compatibility.

Email signatures reference images by URL, not by embedded data. When you send an email, the recipient's email client fetches the image from the URL each time it's displayed. This keeps your signature lightweight and ensures images display correctly across all email clients. Host your images on your website, Imgur, Cloudinary, or any public HTTPS URL.

No. Everything happens entirely in your browser. Your name, email address, image URLs, and company details are never sent to our servers and never stored. Once you close the page, all data is gone.

Outlook uses Microsoft Word's rendering engine, which strips many CSS rules from <style> tags. Use the Inline HTML output option — this applies all styles directly to each element, which Outlook respects properly. Avoid complex layouts, gradients, and modern CSS features for Outlook compatibility.

Yes. In the Visuals tab, paste the public URL of your photo, logo, and banner image. You can also add an optional Banner Click URL to make the banner act as a clickable link to a landing page. Use compressed PNG or JPG files under 50 KB for the best email deliverability.

HTML signatures support formatting, colors, images, and links — they look professional and branded. Plain text signatures are pure text without formatting — they work everywhere but look basic. Most modern email clients use HTML by default, but some mobile apps and CLI tools prefer plain text.

Absolutely. Most email clients (Gmail, Outlook, Apple Mail, Zoho) let you create multiple signatures and assign them to different accounts or aliases. Just generate each signature here, then add each one separately in your email client's signature settings.

Choose the Minimal or Classic Lined template — these stack cleanly on small screens. Keep total width under 600px, use larger fonts (14-16px), and avoid multi-column layouts. Test by sending a test email to yourself and opening it on your phone.
